Export documents & transit times

The documents a shipment from India needs by Incoterm, product and market, who prepares each one, and typical transit times from Indian ports.

Export documents checklist

10 documents for FOB — Free On Board (Indian port), Any category, United States, Sea freight.

Before production2

  • Importer-Exporter Code (IEC)

    Prepared by: Supplier / exporter

The Indian exporter's 10-character DGFT registration. No goods can be exported from India without one, and it goes on the shipping bill.

Held by the factory or merchant exporter — overseas buyers don't need one.

  • RCMC from the export promotion council

    Prepared by: Supplier / exporter

Registration-cum-Membership Certificate. The exporter needs it to claim Foreign Trade Policy authorisations and benefits.

Issued by the council for the product's category (e.g. EPCH for handicrafts, AEPC for apparel, CLE for leather, EEPC for engineering).

Before shipment3

  • ISPM 15 marks on wooden packaging

Prepared by: Supplier / exporterIndiaUnbox can coordinate

Solid-wood pallets, crates and dunnage must be heat-treated or fumigated and stamped with the IPPC mark by an accredited agency. Plywood, MDF and plastic pallets are exempt.

Only if the shipment uses solid-wood packaging.

  • Certificate of origin (non-preferential)

Prepared by: Supplier / exporterIndiaUnbox can coordinate

Proves the goods were made in India. Issued on DGFT's eCoO platform (or by an authorised council or chamber) when the buyer, the bank or destination customs asks for one.

There is no India–US free trade agreement in force, so it doesn't lower the duty.

  • Importer Security Filing (ISF 10+2)

    Prepared by: Buyer / importer

For ocean shipments to the US the importer (or its broker) files the ISF at least 24 hours before the container is loaded in India. Late or missing filings can be penalised.

The supplier provides the manufacturer, seller, container stuffing location and consolidator details.

At shipment4

  • Commercial invoice

Prepared by: Supplier / exporterIndiaUnbox can coordinate

The seller's invoice: buyer and seller, HS codes, quantities, unit prices, currency, Incoterm and country of origin. Customs at both ends use it to value the goods.

State the Incoterm and place on the invoice, e.g. "FOB Nhava Sheva, Incoterms® 2020".

  • Packing list

  • Shipping bill (export declaration on ICEGATE)

Prepared by: Forwarder / CHAIndiaUnbox can coordinate

The customs broker (CHA) files the export declaration on ICEGATE for the exporter; Indian customs then gives the Let Export Order so the goods can be loaded.

  • Bill of lading or sea waybill

Prepared by: Forwarder / CHAIndiaUnbox can coordinate

Issued by the shipping line or forwarder once the container is loaded. An original bill of lading is a title document — use a sea waybill or telex release when no bank is involved.

Under FOB the buyer's nominated forwarder books the main carriage and issues this.

On arrival1

Transit time from Nhava Sheva (port to port)

Red Sea / Suez, as of 30 Oct 2026: carriers have been moving India–Europe and India–US East Coast services back through Suez since mid-2026 (e.g. Maersk's India–US East Coast service from August), but many sailings still go round the Cape of Good Hope, routing can switch at short notice, and a full return isn't expected before Q1 2027. Ask which way the specific vessel is going when you book. Ocean figures are port to port. Add about 5–10 days before sailing (factory to port, export customs, carrier cut-off) and 3–10 days after arrival (unloading, import clearance, delivery).

Typical requirements checked on 30 Oct 2026 — your forwarder/CHA confirms for each shipment.
